Step 01 · Setup

Get set up in 10 minutes.

One-time. Do these in order and every quote, job and invoice you send after this will look on-brand and price itself correctly.

Profile & organisation

Add your business name, email, phone and address. This is what shows on quotes, invoices and the booking link.

Upload your logo, pick your accent colour, set the document footer. Quotes, invoices and inspection reports all pick this up automatically.

Set your hourly rate, callout fee and minimum charge. Used as the default when you add labour to a quote or job.

Default markup % applied to every part you add. You can override per line.

Step 02 · Intake

Take an intake without phone tag.

Share one link. The customer fills in their car, complaint, photos and where you can find them — before you've even picked up the phone.

Share your booking link

Each org has a public link at /book/your-token. Send it by text, put it on your website, stick the QR on the van.

The customer fills in

Reg, mileage, complaint, warning lights, previous diagnosis, photos, postcode and access notes (parking, gate codes, where the key is), a preferred date/time and any customer-supplied parts.

It lands in Intakes

You get a new card on the Intakes list. Tap to read everything they wrote, see the photos and decide what to do next.
Tip · Pin the booking link to the top of your Google Business profile and Instagram bio. Most "new lead" admin disappears.

Step 03 · Confirm

Confirm the booking time.

The customer's preferred time is a request, not a commitment. Confirm, change or clear it from the intake.

Open the intake

The Booking Time card sits at the top with the date and time the customer asked for.

Confirm, change or clear

Confirm locks it in and shows green on the diary. Change opens the date/time picker. Clear removes it if you want a fresh conversation.

See it on the diary

Confirmed bookings show solid. Unconfirmed ones show a "Tentative" pill so you know to chase.

Tip · If the customer gave a range ("Tues morning"), pick the slot that fits your route — they only see the time you confirmed.

Step 04 · Convert

Intake → quote or job sheet.

One tap. Every field the customer wrote is carried over so you're not retyping anything.

Choose: quote or job sheet

Use Create quote if you need to price work and get approval first. Use Create job sheet if it's already a confirmed bit of work.

What gets pre-filled

Customer name, phone, address, postcode, vehicle reg + year + make/model, mileage, complaint, warning lights, previous diagnosis, customer-supplied parts, access notes, photos, the Fobsy summary and the booked date/time.

Edit before you send

Anything pre-filled is editable on the quote/job sheet. The intake stays linked so you can flip back to the original at any time.
Tip · You can convert the same intake into a quote AND a job sheet — useful if part of the work is approved and part needs pricing.

Step 05 · Quote

Build & send a quote.

Line items, parts, labour, profit panel — and a customer-facing approval link.

Add line items

Parts, labour, callout, travel, sundries. Pull from your saved parts catalogue or type free-text.

Watch the profit panel

Live GP %, margin and true £/hour including travel. If you're under your minimum return it warns you before you send.

Send for approval

Share the quote link. Customer reviews and taps approve on their phone — no login, no PDF download.

Approved → job sheet

Approval auto-creates the job sheet and slots it into the diary using the confirmed booking time.
Tip · Use Fobsy to draft line items — say "rear pads and discs, two hours labour" and it builds the lines for you.

Run the job sheet.

Everything for one job in one screen: who, where, what, photos, signatures, navigation.

Tap the card from today's diary to open the sheet.

Navigate to the customer

The address card shows Google Maps and Waze buttons — one tap launches the app on your phone with directions already set.

Work the tabs

Overview, Inspection, Parts used, Time, Photos, Signatures. Each tab saves independently so you can dip in and out.

Voice-note as you go

Hold Fobsy, describe what you found. It writes a clean job note straight onto the sheet.

Finish the job

Mark complete. The invoice is drafted automatically with every part and hour you logged.

Use a starter from the library or build your own — sections, items, weights, reference photos, signature flags.

Pass / fail / measurement per item. Conditional items only appear when needed. Works fully offline.

Fail → action → follow-up quote

Every fail becomes an open action. One tap turns it into a follow-up quote the customer can approve from their phone.

Export the report

Three formats: Service report (branded, photos, QR), Audit print-off (dense, file-ready) or Certificate (one-page landscape).
Tip · Set the default export per template. You can still override at send time.

Travel-aware. Tap-to-navigate. Tentative vs confirmed at a glance.

Today, Tomorrow, Week, Month. Each card shows the customer, vehicle, address and a navigate button.

"Tentative" = customer requested a time, you haven't confirmed. Plain = confirmed. Red gap warning = travel time between jobs is too tight.

The top of today shows expected GP against your daily target so you know if the day still pays.
Tip · Open /diary/today from your phone home screen — it's the one screen you need 90% of the day.

Step 09 · Invoice

Invoice & get paid.

Drafted automatically when you finish a job. One tap to send with a pay link.

Finishing a job creates a draft invoice with every part, hour, callout and travel line.

Edit if needed

Adjust lines, add a discount, change the due date. Branding and footer come from settings.

Send with pay link

Customer gets a link to view and pay. Card or bank transfer (once payments are connected).

Track part-paid & overdue

The invoice list flags anything outstanding. Mark paid manually for cash jobs.
Tip · For repeat customers, save invoice templates with default lines (e.g. "annual service") to send in two taps.

Step 10 · History

Vehicle history by reg.

Type the plate. Get every quote, job, advisory, invoice and inspection for that car.

Search a plate

Type any reg in the dashboard search. Past customers, past work, past photos, past prices — all on one timeline.

Use the history on the next quote

"Last time we did pads at 84k. Discs were flagged — recommend pair." Sounds like you've known the car for years.
Tip · Stick the QR sticker on the strut tower. Next visit, scan opens the vehicle's history instantly.

Step 11 · Assets

Asset register + QR-to-start.

Vehicles, courtesy cars, lifts, tools. Each gets a QR sticker.

Name, type, serial / reg, last serviced. Generate the QR.

Scanning opens the right check sheet, prefilled with the asset and the tech. No typing.
Tip · Use this for daily lift inspections — a 30-second scan-and-tick keeps you compliant without paper.

Tip · Check £/hour weekly. If a job type is dragging your number down, raise the price or stop offering it.
